Understanding Scheduling Warnings
ChurchBuddy uses a sophisticated warning system to help you make informed scheduling decisions. When assigning people to services, you’ll see color-coded indicators that highlight potential issues like conflicts, unavailability, and scheduling fatigue.Warning Colors
Red Highlighting
A user highlighted in red indicates a conflict. This means they are already scheduled for another service or position on the same date. It may be that they are already scheduled on the same team or they may be scheduled on a different team.Yellow Highlighting
A user highlighted in yellow means they have indicated that they are unavailable that day. They’ve marked this date in their availability calendar as unavailable.Tip: You can still schedule someone who’s unavailable, but consider whether it’s necessary. They may have a good reason for marking themselves unavailable.
Blue Highlighting (Fatigue)
A user highlighted in blue indicates fatigue - they have been scheduled frequently in recent services. The shade of blue indicates the level of fatigue:- Light blue - Minimal fatigue (scheduled a few times recently)
- Medium blue - Moderate fatigue
- Dark blue - High fatigue (scheduled many times recently)
- Very dark blue - Very high fatigue (scheduled very frequently)
Tip: Fatigue indicators help you balance workloads and avoid over-scheduling the same people repeatedly. Consider scheduling people with lower fatigue levels to distribute work more evenly.
Viewing Warning Details
If you are unsure why a user is highlighted in a particular color, you can:- Hover over the user’s name in the dropdown to see a tooltip explaining the specific reason
- Look at the status text next to their name (e.g., “Unavailable”, “Fatigue”, “Team Conflict”)
- The status indicators are sorted to show available people first, making it easy to find people without warnings
Priority of Indicators
When a user has multiple issues, the most severe indicator is shown:- Red (Conflicts) - Highest priority
- Yellow (Unavailable) - Medium priority
- Blue (Fatigue) - Lower priority (informational)
- No highlighting - Available and no issues
