Exporting Schedules
ChurchBuddy allows you to export your schedules to multiple formats, making it easy to share schedules with your team, print them for physical distribution, or create backups. You can export to Word documents (.docx) or Excel spreadsheets (.xlsx).Accessing Export
- Navigate to the Calendar section
- Click the “Services” sub-tab
- Click the “Export Schedule” button
- A popup will appear with export options
Selecting Services to Export
In the export popup:- A calendar preview shows all your services
- Check the checkbox next to each service you want to include in the export
- Use “Select All” to include all services
- Use “Clear” to deselect all services
Tip: You can export just upcoming services, past services, or a custom selection based on your needs.
Export Formats
Export to Word
Creates a Word document (.docx) with your schedule. Format:- Each team appears on its own page
- Services are organized chronologically
- Shows date, time, location, and all assignments
- Select the services you want to export
- Click “Export to Word”
- The file will download automatically
- Open it in Microsoft Word or any compatible word processor
Tip: Word export is great for printing schedules or sharing with people who prefer Word documents.
Export to Excel
Creates an Excel spreadsheet (.xlsx) with your schedule. Format:- Each team appears as a separate sheet/tab
- Services are listed in rows
- Columns show date, time, location, and assignments
- Select the services you want to export
- Click “Export to Excel”
- The file will download automatically
- Open it in Microsoft Excel, Google Sheets, or any compatible spreadsheet program
Tip: Excel export is great for data analysis, filtering, or importing into other systems.
Export Permissions
Only users with scheduling permissions can export:- Owners
- Organization Admins
- Team Admins (for their teams)
- Schedulers (for their teams)
Export Best Practices
- Export regularly - Create backups of your schedules periodically
- Include date ranges - Export specific time periods (month, quarter, etc.) for easier organization
- Use appropriate format - Choose Word for printing, Excel for data work (you can save Word files as PDF if needed)
- Name files clearly - When downloading, save with descriptive names like “Schedule_January_2025.docx”
- Review before sharing - Check the exported file to ensure it looks correct before distributing
Sharing Exported Schedules
After exporting, you can:- Email the file to team members
- Print the schedule for physical distribution
- Upload to cloud storage for team access
- Share via messaging apps or collaboration tools
