Service Station Scanner

The Service Station Scanner provides a dedicated check-in interface for services. Set up tablets or computers at check-in stations to scan QR codes or manually look up attendees.

Overview

Service Station Scanner is designed for:
  • Dedicated stations - Set up permanent or temporary check-in points
  • QR code scanning - Fast check-in by scanning member QR codes
  • Manual lookup - Search for attendees by name when needed
  • Multi-station support - Run multiple stations for busy services

Setting Up a Station

Accessing the Scanner

  1. Navigate to Service Station Scanner
  2. Select your Organization
  3. Select the Service you’re checking in for
  4. The scanner interface loads

Station URL

You can bookmark the station URL for quick access:
/service-station-scanner/?org=YOUR_ORG_ID&service=SERVICE_ID
Tip: Save the URL as a bookmark or home screen shortcut on your check-in devices.

Check-in Methods

QR Code Scanning

  1. Select Scan QR Code
  2. Allow camera access when prompted
  3. Point the camera at the member’s QR code
  4. The system automatically checks them in
  5. Confirmation appears on screen
Members can display their QR code from the ChurchBuddy mobile app.

Manual Lookup

  1. Select Manual Lookup
  2. Type the person’s name in the search box
  3. Select the correct person from results
  4. Click Check In
Use manual lookup when:
  • Someone doesn’t have their QR code
  • The QR code won’t scan
  • Checking in guests without accounts

Station Interface

Check-in Confirmation

When someone checks in, the screen shows:
  • Person’s name - Confirms who was checked in
  • Success indicator - Green checkmark
  • Ready for next - Returns to scan mode automatically

Already Checked In

If someone tries to check in twice:
  • Shows they’re already checked in
  • Displays when they checked in
  • No duplicate entries created

Multi-Station Setup

For large services, set up multiple stations:
  1. Each station uses the same service URL
  2. All check-ins sync to the same service record
  3. Stations can be at different entrances
  4. Total attendance aggregates automatically

Best Practices

  1. Test before service - Verify cameras and connectivity
  2. Train volunteers - Make sure station operators know both methods
  3. Position stations well - Place at natural entry points
  4. Have backup plan - Know how to do manual lookup if scanning fails
  5. Use tablets - Tablets work well as dedicated stations

Camera Tips

For QR scanning:
  • Ensure good lighting
  • Hold device steady
  • Position QR code within the scanning area
  • Clean camera lens regularly
  • Test with different phones’ QR brightness

Troubleshooting

Camera not working:
  • Check browser permissions for camera access
  • Try refreshing the page
  • Use a different browser if needed
QR code not scanning:
  • Improve lighting
  • Ask member to increase phone brightness
  • Use manual lookup as fallback
Slow check-ins:
  • Check internet connectivity
  • Reduce distance between device and QR code
  • Consider multiple stations for high traffic
