Services in Events
Events can include services (worship services, sessions, meetings, etc.) that are part of the event. These services are managed within the event context and appear in the event’s service list.Understanding Event Services
When you create a service within an event:- The service is stored as part of the event
- It appears in the event’s service list (on the event detail page or event dashboard)
- Event services are managed within the event context, not in the Calendar section’s Services sub-tab
- You can schedule teams and people for event services using the bulk scheduling interface from the event
Note: Event services don’t appear in the Calendar section’s Services sub-tab. They are managed and scheduled within the event’s Services section or through the event dashboard.
Adding a Service to an Event
To add a service to an event:- Navigate to the Calendar section
- Click the “Events” sub-tab
- Click on your event
- Go to the Event Details tab
- In the Event Services section, click “Add Service”
- Fill in the service information:
- Service Name (e.g., “Opening Session”, “Worship Service”)
- Start Date and Time
- End Date and Time
- Location (optional)
- Teams - Select which teams are involved
- Configure recurrence if needed (same as regular services)
- Click “Add Service” or “Save”
Managing Event Services
Editing an Event Service
To edit a service within an event:- Open the event
- Go to the Event Details tab
- Find the service in the Event Services list
- Click to edit it
- Make your changes
- Save
Note: Event services are edited within the event context. You must open the event to edit its services.
Removing a Service from an Event
To remove a service from an event:- Open the event
- Go to the Event Details tab
- Find the service you want to remove
- Click the remove/delete button
- Confirm removal
Scheduling for Event Services
To schedule people for event services:- Navigate to the Calendar section
- Click the “Events” sub-tab
- Click on your event to open the event dashboard
- Go to the Services tab in the event dashboard
- Click the “Schedule Teams” button (visible to Owners, Organization Admins, Team Admins, and Schedulers)
- The bulk scheduling interface will open, filtered to show only services from this event
- Schedule people for positions using the same interface as regular services:
- See multiple services side-by-side in a grid layout
- Use arrow buttons (← →) to navigate between groups of services
- Select people from dropdowns for each position
- Changes are automatically saved as you make them
- Click “Back to Event” when finished to return to the event dashboard
Note: Event services are scheduled through the bulk scheduling interface, which automatically filters to show only services from the current event. This is the same scheduling interface used for regular services, but it’s filtered when accessed from an event. You cannot schedule event services from the Calendar section’s Services sub-tab.
Sharing Service Schedules
You can share event service schedules publicly:- In the event’s Event Details tab
- Click “Share Service Team Schedules” button
- A public link will be generated
- Share this link so people can see who’s serving at each service
Note: The shared schedule shows team assignments for all services in the event. This is useful for letting attendees know who’s leading worship, teaching, etc.
Event Service Best Practices
- Name clearly - Use descriptive names like “Friday Night Worship” or “Session 1: Welcome”
- Set times accurately - Include start and end times for each service
- Assign teams early - Schedule teams well in advance so people can plan
- Use consistent locations - If all services are in the same place, set it at the event level
- Link related services - Group event services together by using clear naming conventions
