WorshipBuddy Integration
ChurchBuddy integrates with WorshipBuddy to help you organize audio files from Google Drive into albums. These albums appear in WorshipBuddy’s playlist screen where they can be streamed.What is WorshipBuddy Integration?
The WorshipBuddy integration allows you to:- Browse Google Drive folders to find audio files
- Organize audio files into albums
- Make albums available in WorshipBuddy’s playlist screen for audio playback
- Control who in your organization can access and manage albums
Note: Currently, the integration only supports Google Drive. Audio files must be stored in publicly accessible Google Drive folders.
Access Requirements
To access WorshipBuddy integration settings, you must be:- An Owner of the organization, OR
- An Organization Admin, OR
- A user who has been granted access through WorshipBuddy Access Control
Setting Up Access Control
Owners and Admins can control who has access to WorshipBuddy features.Access Control Options
- Owner/Admin Access - Owners and Organization Admins always have access
- Team-Based Access - Allow specific teams to access WorshipBuddy
- Individual Access - Allow specific users to access WorshipBuddy
Granting Team Access
- Go to Settings → WorshipBuddy section
- In the “Access Control” area, select teams that should have access
- All members of selected teams will gain access
- Choose the access level (View Only or Edit)
- Click “Save Access Control” to apply changes
Granting Individual Access
- Go to Settings → WorshipBuddy section
- In the “Access Control” area, select individual users
- Choose the access level (View Only or Edit)
- Click “Save Access Control” to apply changes
Tip: “View Only” allows users to see albums but not make changes. “Edit” allows users to create, modify, and delete albums.
Songbook ID (Optional)
You can link a WorshipBuddy Songbook ID to your organization:- Go to Settings → WorshipBuddy section
- Enter your Songbook ID in the “Songbook ID” field
- Click “Save Songbook Settings”
Note: The Songbook ID links your organization to a specific WorshipBuddy songbook. This is optional and separate from the album organization feature. This will be required in the future if you want users in your organization to find pulic albums from other organizations within the same songbook ID.
Organizing Audio Files with Albums
Albums are collections of audio files that will appear in WorshipBuddy’s playlist screen for playback.Creating an Album
- In the WorshipBuddy settings page, find the “Org Music Albums” section
- Click ”+ Create Album”
- Enter an album name
- Optionally add a cover image URL (must be from Google Drive, and the file must be named exactly “Album Cover” in PNG format)
- Click “Save Album”
Adding Audio Files to Albums
You can add audio files from Google Drive to albums using the file explorer:- Paste a Google Drive folder URL in the file explorer field
- Click “Explore” to view the folder contents
- Drag and drop audio files or folders onto an album card
- For folders, you’ll be asked:
- Live Sync - If enabled, new audio files added to the folder will automatically appear in the album
- Flatten - If the folder contains nested folders, choose whether to flatten the structure
Tip: Audio files are identified by their file extensions (mp3, m4a, wav, ogg, flac, aac, wma). Only audio files will be playable in WorshipBuddy.
File Explorer
The file explorer lets you browse Google Drive folders:- Paste a public Google Drive folder URL in the explorer field
- Click “Explore” to load folder contents
- Navigate into folders by clicking on them
- Use the breadcrumb navigation to go back
- Drag files or folders from the explorer onto albums
Editing Albums
To edit an album:- Click the edit icon (pencil) on the album card
- Update the album name or cover image URL
- Click “Save Album”
Deleting Albums
To delete an album:- Click the delete icon (trash) on the album card
- Confirm the deletion
How Albums Appear in WorshipBuddy
Once you’ve created albums and added audio files:- Albums appear in WorshipBuddy’s playlist screen
- Audio files can be played directly from WorshipBuddy
- Albums are accessible to organization members based on your access control settings
Note: Albums are shared with your organization members who use signed into WorshipBuddy. They need access to the ChurchBuddy org to see the albums in WorshipBuddy from the org.
Best Practices
- Use public Google Drive folders - Make sure folders are set to “Anyone with the link”
- Organize by purpose - Create separate albums for different types of music (e.g., “Sunday Service Music”, “Special Events”)
- Use descriptive album names - Name albums clearly so they’re easy to find in WorshipBuddy
- Enable live sync for active folders - If you regularly add new files to a folder, enable live sync so they automatically appear
- Review access regularly - Periodically review who has access and adjust as needed
Troubleshooting
Can’t see WorshipBuddy in navigation:- Check that you’re an Owner, Admin, or have been granted individual/team access
- Ask your organization’s Owner or Admin to grant you access
- Make sure the Google Drive folder is set to “Anyone with the link”
- Verify the folder URL is correct (should be a Google Drive folder URL)
- Only Google Drive folders are currently supported
- Verify the files are audio file types (mp3, m4a, wav, etc.)
- Check that albums have been saved successfully
- Ensure the songbook ID is correctly linked (if using)
- Check your access level - you may only have “View Only” access
- Only Owners, Admins, or users with “Edit” access can modify albums

Getting Started with Music Albums

Access Levels
View Only:- Users can see albums in WorshipBuddy
- Users can play audio files
- Users cannot create, edit, or delete albums
- Users cannot add files to albums
- All “View Only” permissions
- Users can create new albums

- Users can delete albums (Owners/Admins only)
- Users can reorder albums
Team-Based Access
When you grant team-based access:- All current members of the team gain access
- New members added to the team automatically gain access
- Members removed from the team lose access
- Access level (View Only or Edit) applies to all team members
Individual Access
When you grant individual access:- Only the specified user gains access
- Access persists regardless of team membership
- You can grant different access levels to different users
- Access must be removed manually if needed
