# Events Overview

Events in ChurchBuddy allow you to organize special gatherings, conferences, retreats, workshops, and other multi-day activities separate from your regular services. Events provide specialized tools for managing registration, logistics, and coordination.

## What are Events?

Events are separate from regular services and provide:

* **Event-specific organization** - Keep event planning separate from regular service scheduling
* **Registration forms** - Collect information from attendees with custom questions
* **Event services** - Schedule services within events (managed within the event context)
* **Logistics management** - Manage transportation, housing, meals, and check-in for events
* **Public access** - Share registration links publicly or keep events private

## Event vs. Service

Understanding the difference:

* **Services** - Regular recurring or one-time gatherings (Sunday service, Bible study, etc.)
* **Events** - Special multi-day or complex gatherings that need registration and logistics coordination (conference, retreat, workshop, etc.)

Services within events are managed within the event context:

* They appear in the event's service list
* They're scheduled through the event's scheduling interface
* They're separate from regular services in the Calendar section's Services sub-tab

This approach keeps event services organized within their event while maintaining clear separation from regular service scheduling.

## Event Features

Events include:

### Basic Event Management

* Create events with templates or from scratch
* Set event details (name, dates, location)
* Control visibility (public or private)
* Set event status (Draft, Published, Active, Completed, Archived)

### Registration

* Custom registration forms with unlimited questions
* Multiple question types (text, dropdown, checkboxes, etc.)
* Registration open/close dates
* Allow editing of responses
* Allow anonymous submissions — Registrants can hide identity from others; name and email are still required on the form

### Services

* Add services directly to events
* Services are managed within the event context
* Schedule teams for event services through **Event Dashboard → Services → Schedule Teams** (opens `/org-schedule-team/?org=…&event=…`). Calendar → Schedule Team without an `event=` parameter only shows org-wide services, not event-only services.
* Share service schedules publicly

### Logistics (Optional)

* **Transportation** - Manage routes, drivers, vehicles, flight data from registrations
* **Housing** - Coordinate accommodations and host dashboards
* **Meals** - Plan meal periods, attendance, and crowd meter
* **Check-in** - Track arrival and departure
* **SignUps** - Volunteer slot and item sign-up sheets

### Registrant Portal

* **My Event** - Registrants view their info, schedule, and self check-in
* **Public registration** - Shareable registration links

### Dashboard & Analytics

* **Event Dashboard** - Central hub with Overview, Services, Registration, Logistics, Analytics tabs
* **Analytics** - Registration trends and statistics

  **Note**: Events are created and edited by **Owners and Organization Admins** (Calendar → Events). Team Admins and Schedulers do **not** see the Events sub-tab — they cannot self-navigate to Event Dashboard → Schedule Teams without a shared link or explicit event dashboard permission.
